Sustainability Policy

Operating with long-term thinking

Meridiona's approach to sustainable operations covers how we build software, how we work with clients, and how we structure our team's day-to-day environment. These are practical commitments, not aspirational statements.

Software that runs inefficiently consumes more server resources than necessary. Since 2022, Meridiona has maintained internal code review standards that specifically target computational waste - redundant loops, unnecessary API calls, and over-provisioned service dependencies. These aren't aesthetic preferences; they translate directly into lower hosting footprints for clients.

Working remotely by default is the most straightforward operational choice we've made. No physical office means no daily commuting across a distributed team, no energy consumed maintaining a fixed space, and scheduling that accommodates clients across 9 time zones without requiring anyone to travel. The infrastructure cost of running a video call is measurably smaller than flying a consultant to a client site.

Documentation is where many technical projects fail their long-term sustainability. Systems that aren't documented become dependent on specific individuals, and that dependency is fragile. Every automated system Meridiona delivers includes structured documentation covering architecture decisions, configuration parameters, and operational procedures - written so that a competent engineer unfamiliar with the project can maintain it independently within 4 hours of onboarding.

Operational Standards

How these principles apply to daily work

01

Dependency audits on every project

Before writing a single line of integration code, we audit third-party dependencies for maintenance status, licence conditions, and update frequency. Libraries abandoned by their maintainers are a technical debt that clients inherit - we flag these before they become problems.

02

Asynchronous communication as default

Synchronous meetings are scheduled only when a decision genuinely requires real-time discussion. Most coordination happens through structured written communication, which creates a permanent record and allows team members across 6 countries to contribute without time-zone penalties.

03

Client system handover protocol

Every delivery includes a 3-stage handover: technical walkthrough, documentation review, and a 30-day post-launch support window. The goal is that clients can operate and modify their systems without returning to us - dependency on a single vendor is a risk, not a feature.

Team and Culture

People behind the policy

Sustainability commitments that exist only in documents don't change how work gets done. At Meridiona, these standards are written into project templates, code review checklists, and client onboarding materials - not left to individual interpretation.

Engineers on the team are expected to raise concerns when a proposed technical approach conflicts with these standards. That expectation is explicit, not implied. In practice, it means some client requests get pushed back with a clear technical explanation - which takes more effort in the short term but produces systems that hold up over 3 to 5 years rather than requiring replacement.

Theodora Vanlith Lead Systems Consultant

Theodora oversees technical delivery standards across all client engagements. With a background in distributed systems architecture, she introduced the 4-hour onboarding benchmark for system documentation - a target that has changed how the team writes technical handover materials. She reviews all sustainability-related policy updates before they are applied to active projects.
